How do I know Nhan Kiet gets it right?

You don't have to take it on trust — you can verify it. Every period is handed over with an open-formula Excel reconciliation workbook: every calculation is a live Excel formula directly in each cell, change one input and the whole workbook recalculates; a per-row check column forces the system NET minus the formula NET to equal zero. On the system, click any figure and it traces back to a specific workday.

My rules have many shifts and complex coefficients — can you handle them?

Yes — your rules are encoded exactly as written, however complex. The system already runs highly complex rules in production: dozens of shifts including night shifts crossing midnight, coefficient matrices of 150–390%, hourly pay alongside monthly pay, two pay runs a month, attendance bonuses, late-minute deductions, net-to-gross grossing up, maternity and long-term sickness benefits. Your rules are encoded and test-run until they match exactly before going live.

Do I have to change my current time clock or software?

No — you keep the time clock and the software you already use. Nhan Kiet accepts data in exactly the format you already have — time-clock files, UKG/Kronos punches, Excel, Google Sheets — and keeps your current forms and operating habits intact.

Is payroll data kept secure?

Payroll data is accessible strictly by role: multi-level permissions by function and scope (HR, department head, finance, view-only), and every sensitive action — editing attendance, cutting overtime, adjusting pay — requires a logged reason and is kept in an audit trail.

How is the service fee calculated?

The payroll outsourcing fee is charged by the actual number of workers on each payroll period, with no separate software setup fee. The quote depends on the complexity of your rules and the number of payroll groups — contact the hotline 0908 636 108 for a survey and a quote within 24 hours.

How do we exit and hand the work back?

This is a service contract and it does not touch the employment relationship: the employment contracts stay in your company’s name and the staff remain yours. Ending the service means moving payroll back in house or to another provider. We hand over everything: the payroll runs period by period, personal income tax filings and year-end finalisation, social-insurance increase and decrease records, and the open-formula Excel workbook so whoever takes over can check every figure. The notice period is set in the contract — it is worth timing the switch to the end of a pay period so no cycle is left half-finished.

What is payroll outsourcing?

Payroll outsourcing is a service contract under which an external provider processes timekeeping data, calculates wages, personal income tax and social insurance, disburses pay and files the related compliance records — while the employment contracts stay in the client company's name. It differs from an employer of record: the provider never becomes the employer, so you keep the employment relationship and the staff remain yours.

Does outsourcing payroll transfer my employees to the provider?

No. Payroll outsourcing is a service contract and it does not touch the employment relationship: the employment contracts stay in your company's name, the staff remain yours, and Nhan Kiet acts only as the processor. Moving the employment relationship across is a different service — labour compliance, where Nhan Kiet signs the employment contracts and becomes the employer of record.

How long does it take to switch payroll providers in Vietnam?

Nhan Kiet runs in parallel with your existing process for at least one full pay period before taking over. Through that period every person's result is reconciled against the open-formula Excel workbook, targeting an exact match, and both sides sign off before go-live. Configuration and data loading happen before the parallel period, so workers see no disruption at any point.

What are the overtime pay rates in Vietnam?

Under Article 98 of the Labour Code 2019, overtime is paid at 150% of the normal hourly rate on ordinary days, 200% on weekly rest days and 300% on public holidays and paid leave days. Night work carries a further 30%, and overtime worked at night adds another 20% calculated on the day rate for that type of day — which is how the premium reaches 270% on a Sunday night shift and 390% on a public-holiday night shift.

What is the legal limit on overtime in Vietnam?

Article 107 of the Labour Code 2019 caps overtime at 50% of normal working hours in a day, 40 hours in a month and 200 hours in a year, extended to 300 hours a year only for the sectors and cases the law lists. Overtime also requires the worker's consent. Nhan Kiet's system tracks the running total per person and warns before a cap is breached.

How is personal income tax calculated on Vietnamese payroll in 2026?

Personal income tax follows the five-bracket progressive schedule under Law No. 109/2025/QH15, applied to income after a deduction of VND 15.5 million a month for the taxpayer and VND 6.2 million a month for each registered dependant (Resolution No. 110/2025/UBTVQH15). The overtime premium — the amount paid above the normal hourly rate — is exempt from tax. Nhan Kiet files each period and performs the annual finalisation per person.

Three layers of relationships behind every staffing order

A manpower supplier is only as strong as the network behind it. These are the three layers Nhan Kiet has built over 17 years, with dates and named organisations so you can verify them yourself.

The public employment network

On 20 February 2025 in Binh Duong, Nhan Kiet signed cooperation agreements with the Employment Service Centres of seven provinces: Ninh Thuan, Can Tho, Long An, Binh Duong, Ho Chi Minh City, Bac Ninh and Binh Phuoc.

These are public bodies under each province's Department of Labour, Invalids and Social Affairs. They process unemployment-benefit claims and hold the local labour supply-and-demand data. Candidates who come through them arrive with a clean employment record, which cuts the risk when insurance and contracts are filed later.

Large domestic enterprises

Cooperation agreements with Viettel Ho Chi Minh City and VNPT – VinaPhone Ho Chi Minh City. The Viettel programme alone covers more than 10,000 workers.
